    A Holiday and Gap Cover Checklist for Hospitality Venues

    A short checklist for planning bar and floor cover around holidays, notice periods and pre-hire gaps, from reviewing rota gaps to confirming arrangements.

    Holiday season, notice periods and the weeks between an offer and a start date all produce the same thing: a rota with known gaps. Known gaps are the easiest kind to cover, provided someone looks at them early enough.

    1. Review the rota against the trading pattern

    Put approved holiday, notice dates and any pending start dates on one view, then lay your usual trading pattern over it. A Tuesday gap and a Saturday gap are not the same problem. Mark the shifts where a gap would leave the bar or floor genuinely short, and treat those as the ones to arrange cover for first.

    2. Write down the skills each gap needs

    Rather than asking for "bar staff", say what the shift requires: cocktails to spec, high-volume draught service, cellar work, table service, or coffee during a brunch run. Being specific makes it far more likely the person who arrives can do the part you were worried about.

    If a gap is recurring, such as every Friday for three weeks, say so upfront. Continuity across the same set of shifts is easier for everyone than arranging each one separately.

    3. Share arrival details in advance

    For each confirmed shift, send the address, the entrance to use, the arrival time, the name of the manager on duty and anything about dress code or belongings. Tell your own team who is coming and in what role, so nobody arrives to a closed door or a confused handover.

    4. Confirm the arrangements

    Before the week starts, confirm each shift: the date and times, the role, the agreed hourly rate and who is expected where. Then check the list again the day before, because rotas move.

    Keep a simple record of who covered what and how it went. When the next holiday block comes round, you are starting from a list of people who already know your venue rather than from scratch.
